Minutes for the Business Meeting - Procrastinating Quilters - April 17, 2008

Held at Country Quilts & Bears, Clearwater, FL

The meeting was called to order at 7:05 pm by president, Cathy Starman. Cathy thanked the retreat committee for a great job at this year's retreat. She read another amusing quilting term from her book, "Help, I Married A Quilter."

New members joining at this meeting are:
Beverly Gonczard, Linda Zebrowski, Barbara Saydeh, Kathy Weiss, Rose White and Monica Heady.

1st Show and Tell & Discussion:
Members were wowed with some amazing machine quilting and asked if we could add a list of machine quilters to our website.

Linda Steinport thanked members for their notes and cards sent in support to her mom.

Sunshine - Diane Friedman asked us to send her information on anyone needing sunshine.

VP Report - Susan Herman passed a sign up list for the summer party in May. The party will be May 15th at 6:30 pm at the Crossroads Baptist Church on Curlew Road. We will have a pot luck supper with the guild providing a spiral sliced ham.

Susan asked for volunteers to come early and help her set up the tables.

Secretary - Lori Lewis / The minutes of the March 2008 meeting were published on the PQ website and were approved as published.

Treasurer - Robin Van Scoy / The financial report for March 2008 was approved as published on the PQ website. Robin reports that all expenses for last year have been processed. This leaves us approximately $4,000 in the checking account, including $1,000 for community outreach earnings for this year.

Membership - Penny Black distributed a new membership list to be checked for errors. Any corrections should be indicated in the margin of her list and the corrections will be made.

Updates on Community Outreach projects:

Silent Auction - We will have pictures posted on our website of items being auctioned at the May Party/Meeting. Members may submit bids to Robin Van Scoy prior to the meeting if they will not be attending. She will keep their bids and bid by proxy for them. More information will be coming on this event. Bring your checks!!

Florida Sherriff's Youth Ranch

Last week, members helped the girls to cut out their pajama bottoms. The next meeting is going to be a sewing night to complete this project. The next sewing project with the girls will be to make their first actual quilts. They will be sewing quilts for donation to a NICU.

We will also be making quilts for boys this year at the FSYR. We will be needing backs.

Soldier Quilts
Maureen reported 13 quilts have been delivered to Bethesda Naval Station. She will report as the quilts are actually handed out to soldiers. The next quilts will be distributed through the VA hospital in Tampa for local injured soldiers.

Retreat 2009 - Diane Friedman reports the 2009 retreat is scheduled for April 3rd - 5th, 2009. The cost will be approximately $200. A deposit of $100 is needed to make reservations. The balance is due in March of 2009.
We will be having a change in the refund/cancellation procedure for retreat since Day Springs will no longer refund us for cancellations at the last minute. Any cancellations up to one month prior to the retreat will be refunded any paid funds. After that time, we will not be able to issue a refund but will give you access to the waiting list to see if you can fill your spot. All efforts will be made to help you fill your spot but the responsibility for filling the space and collecting the exchanged funds will be up to the cancelling member. Extenuating circumstances will be considered but the guild will be out the money so we need to remain firm on the policy.
